Catering Policies & Procedures
 

On behalf of Cobalt Blue Diamond Catering & Events, we are delighted you are considering our services for your special occasion. Please take a moment to review our catering policies and procedures. We will be happy to assist you with any questions or concerns regarding our policies.

 

General Information
The catering sales office is open Monday thru Friday from 8:00AM to 5:00PM, and Saturday from 8:00AM to 12:00PM and after hours by appointment only.

 

Deposits
A 50% deposit of catering sales contract will be required to secure the date of your event (this deposit will be credited to your final invoice). Deposits must be paid in full at the time of contract signing (NO exceptions). We require that the deposit be paid in one of the following ways: cash, money order or credit/debit card. Local company checks are accepted with prior authorization through management.

 

Payment
The balance of the contract must be paid in full 7 business days prior to actual date. Payment is due by cash, money order or credit/debit card. We accept the following credit cards: Visa, MasterCard, Discover, and American Express. Overpayment is possible and will be refunded through our corporate Accounting Department within 30 days. We require a credit card authorization form to be filled out and returned to us at contract signing. Local company checks are accepted with prior authorization from management and must be made out to JC Loggins. For larger events of 200+ guests, payment by check can be made with prior authorization of Catering Director. If your company or organization is tax exempt, please provide us with a copy of your tax exempt certificate at the time of contract signing.

 

 

Guarantee
Please contact our Catering Office with your final guest count 7 business days prior to your event. If final guest count is submitted less than 7 business days, additional charges may apply. Our kitchen will be prepared for 5% over this number. If no guarantee is submitted, we will consider the original number expected as your guarantee.

 

Service Charge and Tax
All menu prices are subject to a service charge and applicable taxes. Sales Tax of 8.25% will be applied to all products and services provided.

 

Menu Selection
Our Catering Sales Managers will provide helpful suggestions in menu and event planning, but you are not limited to these selections alone. Our Catering Sales Office is ready to consult with you on any special gourmet, theme, or ethnic menu to give your event the personal touch. Please consult with our catering sales office for menu selection deadlines. A la Carte menus are available for groups of 10 or less. The prices on our catering menus are based on market conditions and subject to change without notice.

 

Cancellation Policy
Cancellations of 30 days or more of your event date will result in a refund of 50% of your contract deposit. All cancellations with less than 30 days notice prior to your event date will result in a $100 cancellation fee. Cancellations with 2 weeks or less will result in forfeited monies.

 

Corporate Catering Accounts
We recommend that our corporate/business clients establish a corporate catering account for easier processing and ordering. Arrangements can be made to setup an account with Cobalt Blue Diamond Catering & Events; accounts are intended for guests with cumulative average monthly charges of $500.00 or more. Catering Services
Pick-Up Orders:

All pick up orders will be attractively arranged on disposable platters and bowls at no extra charge. Orders can be picked up at the catering office located at 3313-B Pecan Springs Road  Austin, Texas 78723. Hours for pick-up orders are Monday thru Friday from 9:00AM until 4:00PM, and on Saturdays from 9:00AM until 11:00AM. All orders will be fully cooked and chilled; re-heating instructions are available upon request.

 

Delivery/Drop-Off:

Drop-off delivery service option (i.e. no staffing during event) available for $50.00 if the event site is within 25 mile radius of downtown Austin. A reasonable delivery fee will be charged for all other locations. Please consult with one of our catering sales managers for appropriate fee(s).

 

Gratuity:

Gratuities are not included in any invoice, and are left to your discretion. Some clients advance a gratuity before their event so they can relax and enjoy their party, while others prefer to pay the gratuity after the event to reflect their satisfaction with the food, presentation and service staff.

 

Event Planning:

Cobalt Blue Diamond Catering & Events can provide you with expert event planning services for any occasion. Whether it be for your wedding, rehearsal dinner, bar mitzvah, gala, premiers, open house, important company event or holiday party, etc; we can provide the following services:

·         Custom Menus, Themed and Chef-attended food stations, elegant buffets, passed Hors d’ oeuvres, family-style service and plated dinners

·         Delivery and event set-up/tear-down

·         Tents and Rentals including custom linens, china, flatware, tables, chairs, and more…

·         Service Staff

·         Beer, Wine and TABC Certified Bartenders

·         Floral

·         Lighting

·         Photography

·         Day of Wedding Planners

·         DJs/Entertainment

 

Please call our Event Planning staff to set up a complimentary consultation by calling (512) 928-2583. To effectively plan your events, please allow a minimum of two to four weeks, or longer, depending on the complexity of your event. You can never start planning too early!!!

 

Service Staff
We can provide professional service staff for any event we cater. Our service staff team can assist with everything from bussing to bartending, and much more. You will be charged $20 per hour per staff with a 4 hour minimum. Cobalt Blue Diamond Catering & Events TABC certified bartenders are required at all events where alcohol is present and being served. You will be charged $25 per hour per bartender with a 4 hour minimum. Chef Attendants are required for many action stations and plate-up dinners. You will be charged $25 per hour per chef with a 4 hour minimum. Some highly detailed events will require the presence of an Event Manager. You will be charged $35 per hour per Event Manager with a 4 hour minimum. ***All additional staff requires a MIMNIMUM 7 business days advanced notice.***

 

Stylist Services

We can also provide the services of highly skilled wardrobe, hair, and makeup stylists.

 

Entrée Selection
We recommend that only one menu be selected for your entire group. Special arrangements can be made for a maximum of two entrées for groups under 50 guests.  A $1.25 charge per person will be added for more than one menu selection. You will be required to provide the breakdown of entrée choices 30 days prior to the function, as well as a color code system to identify your guests' entrée selections. Vegetarian and children's entrées are available upon request prior to your function.

 

Food and Beverage Regulations
Due to Health Department Regulations and company policy, food and beverage consumed must be prepared Cobalt Blue Diamond Catering & Events. In addition, Health Department Regulations prohibit us from allowing guests to take home extra food or beverages.

 

Bar Service & Alcoholic Beverages
Cobalt Blue Diamond Catering & Events can provide TABC certified bartenders to serve alcoholic beverages. The client will be responsible for purchasing and delivery of beverages. Our Catering Sales Managers can assist in calculating quantities and options, and pricing for bar supplies & set-ups. Icing service for alcoholic beverages is available - please consult with your catering sales manager.

 

Tastings
The Catering Office will be happy to set up a tasting. Tastings need to be scheduled at least 7 business days prior to the appointment date. Tastings are provided on a complimentary basis.

 

Special Requests and Custom Menus
Cobalt Blue Diamond Catering & Events offers extensive menus from breakfast/brunch to elegant dinners. There are many menu items for special diets and cuisines. Every effort will be made to augment menus to satisfy those needs. Sometimes, however, custom menus are necessary and fun, they make your event that much more special and memorable. Please consult with your sales manager with your needs and wants. Deposits are required for all custom menus as stated in the “Event Planning” section of the website.

 

Valet Parking & Coat Check Attendants
These services are available for parties of more than 50 guests and are arranged through the Catering Office. The cost of this service is $50 per attendant. The number of attendants will be determined by the Catering Office.

 

Music and Entertainment
The Catering Office will be happy to assist you in contracting for music or entertainment.  We have a comprehensive list of DJs, musical groups and other local talents. Please consult with one of our Catering Sales Managers for further details.

 

Décor/Equipment/Rentals
The Catering Office is happy to assist you in the ordering of floral arrangements, table linens, glass/dishware, candles, or any other special decorations. Please consult with one of our Catering Sales Managers for further details.
